Roles and Responsibilities of the Operations Manager

Core Management & Supervision:

  1. Administrative & Financial Oversight: Complete responsibility for coordinating and supervising the hospital’s administrative and financial operations.
  2. Strategic Leadership: Guiding the hospital in the implementation of approved strategic programs and policies.
  3. Staffing & Selection: Overseeing the selection of competent and qualified personnel for various hospital departments.
  4. Policy Implementation: Receiving directives and operational guidelines from the Hospital Director and ensuring their effective execution.
  5. Standard Compliance: Aligning all hospital operations with established healthcare quality standards.
  6. Departmental Coordination: Supervising the performance of medical equipment units, facilities, administrative, financial, clinical, medical, and paramedical departments.

Operational Excellence:

  1. Organizational Structure: Organizing activities, delegating tasks, and defining the scope of responsibilities and authorities for all subordinate units.
  2. Workflow Optimization: Issuing necessary orders and protocols to ensure seamless coordination between different departments.
  3. Resource & Budget Management: Monitoring budget preparation, controlling expenditures, and ensuring the efficient use of hospital resources.
  4. Supply Chain & Asset Management: Overseeing the procurement, distribution, maintenance, and control of medical supplies, food, pharmaceuticals, and equipment.
  5. Facility & Maintenance Oversight: Identifying needs for building maintenance, repairs, or reconstruction and reporting them to higher authorities.

Human Resources & Quality Assurance:

  1. HR Management: Managing staff motivation, conducting disciplinary actions, and implementing recognition/incentive programs.
  2. Performance Evaluation: Conducting monthly and annual performance appraisals for all personnel under supervision.
  3. Staff Welfare & Payroll: Following up on staff welfare matters and ensuring timely payroll processing.
  4. Workforce Scheduling: Developing and monitoring efficient shift schedules based on departmental activity levels.
  5. Patient Satisfaction & Complaint Management: Managing patient and family complaints regarding staff and conducting regular ward visits to ensure service quality.
  6. Hygiene & Safety: Supervising the hospital’s overall cleanliness, sanitation, and hygiene standards.

Coordination & Reporting:

  1. Inter-departmental Coordination: Collaborating with the Matron and clinical heads to ensure seamless patient care and operational flow.
  2. Reporting: Preparing detailed reports on departmental activities, challenges, and solutions for the Hospital Director.
  3. Representation: Participating in university-level and central headquarters meetings on behalf of the hospital.
  4. Strategic Planning: Developing short-term and long-term hospital plans to optimize patient admission and capacity management.
